Roles of the Committee of Management


The President represents the Committee on behalf of Yarraleen.

  • Chair monthly committee meetings and prepare agenda.
  • General support to all Committee members.
  • Employment of and liaison with external contractors.
  • Main liason with bestchance Cluster Management, DEECD,  ELAA, City of Manningham and Yarraleen Educators and Nominated Supervisor.
  • Prepare and present Annual Report for AGM.
Vice President
  •  Support President as required.
  • Chair Committee meetings in President’s absence.
  • General support to all Committee members.
  • Address any complaints received via bestchance.
Treasurer / Secretary
  • Responsible for payments and banking /online internet banking.
  • Regularly liaise with bestchance Cluster Management who is employed as Yarraleen’s bookkeeper.
  • Responsible for the preparation of monthly financial reports as requested by bestchance.
  • Preparation of Treasurer’s Report for AGM in liason with bestchance.
  • Lodgment of GST obligations via bestchance.
  • Engage an end of financial year auditor to audit Yarraleen’s financial records.
Administration Secretary
  • Collect and distribute Yarraleen mail.
  • Maintain notice boards in accordance with DEECD.
  • Record, collate and prepare minutes of each Committee meeting (including AGM).
Enrolment Officer
  • Responsible for all enrolment queries and paperwork.
  • Maintain accurate waiting lists and offer placements according to Yarraleen’s enrolment policy.
  • Communication to new families as required.
  • Prepare Information Packs for Information Night.
Fees Officer
  • Distribute invoices and receipts for fees and maintain all records as per Yarraleen’s Fees Policy.
IT Officer
  • Maintain and update the Yarraleen website and email addresses.
  • Maintain and update Yarraleen’s storage/back up system of all electronic files.
  • Responsible for the efficient running of all electronic equipment.
  • Liaise with Grants Officer, staff and Vicnet when upgrade of new equipment is required.
Maintenance Officer
  • Ensure all maintenance tasks are addressed.
  • Plan and supervise working bees.
  • Work with council maintenance department regarding council responsibility for building maintenance.
  • Organise external contractors for external and internal maintenance.
  • Maintain records on family attendances and provide to Fees Officer at year end.
Publicity & Communications Officer
  • Develop end of term newsletters ( 4 in total )
  • Liaise with IT Officer regarding maintenance of content on the website.
  • Organise ‘Open Day’ in conjunction with the Social Co-Ordinator.
  • Develop advertising material when required.
  • Ensure visibility of Yarraleen in the local community through promotion and management of community relationships.
  • Maintain Yarraleen’s Facebook Page.
  • Work closely in conjunction with the Social Co-ordinator on events throughout the year.
Grants Officer
  • Source and procure additional funding opportunities for Yarraleen via community/corporate council, state or federal government grants or donations.
Social / Fundraising Co-ordinator/s
  • Organise ‘Open Day’ in conjunction with the Publicity & Communications Officer.
  • Organise appropriate social and fundraising events and functions for Yarraleen.
  • Organise celebrations for Yarraleen anniversary dates.
  • Promote fundraising events deemed necessary by the COM.
  • Work closely in conjunction with the Publicity Co-ordinator on events throughout the year.
General COM Member
  • Attend Committee meetings.
  • Support the Committee of Management via involvement in small projects as required.
